As project managers for a digital marketing and web development company, one of our primary job functions is breaking down product requirements and translating them into a clear project plan. The trouble with this task occurs when requirements come in all different shapes and sizes and stages, some more difficult to understand than others. Since delivering clear product requirements saves time and money for our clients, we wanted to offer this quick list of best practices.
Keep your requirement list organized by assigning a number to each requirement
This helps create a central reference point for you and the project team, so we are working from the same list of requirements.
Group similar items
When creating your numbered list of requirements, group similar items together perhaps using categories or a sitemap to create a logical and organized hierarchy.
Include screenshots and mock-ups whenever possible
Visual aids are key to helping the project team understand your vision.
Explain the interactions
Fully explain the user experience of each requirement – using visual aids or flow charts as needed – if you have buttons, links or other interactive components on your list.
The more detail you can provide up-front, the more time and money you will save.
Use a collaborative tool
Google Docs and Dropbox work best for collaboration as they offer a way for everyone to work from the same version of each file in real-time.
Explain the business reasoning behind your requirements
The better we can understand your business, the more likely we are to deliver a product that meets your needs.
